Tips for Getting Business Donations & Sponsorships

  1. Complete the formal application online — then always follow up in person.
Doing the digital legwork is essential, but showing up with a face and voice gets attention.

  2. Ask to speak with a manager (or decision-maker).
Don’t just drop a request at the front desk — that person may not have authority to approve your ask.

  3. Bring a printed request letter in hand.
Include your EIN, your organization name, the donation purpose, event date, expected impact, and a brief “what’s in it for you” line.

  4. Ask early — 4 to 8 weeks (or more) in advance is ideal.
Many businesses plan their community support budgets ahead, so you’ll have a much stronger chance when you apply well ahead of time.

  5. Be specific in your ask.
Don’t say “we need support.” Say “we need $500 to cover uniforms for 12 athletes” or “gift cards for our end-of-season banquet.” Clarity builds credibility.

  6. Follow up (without being pushy).
A polite check-in 5–7 days after your initial submission shows you’re serious, organized, and professional.

  7. Emphasize mutual benefit.
Highlight how your team’s audience overlaps with the business’s customers (i.e. families, neighbors) and offer exposure (logos, social media shoutouts, signage).

  8. Track all requests and responses.
Use a simple spreadsheet to note whom you asked, when, what you asked, and the outcome — so you don’t duplicate or forget follow-ups.
