Kathy's Tips For Securing Donations

 

Do the Work Online — Then Show Up in Person

Complete the formal application online, then follow up in person.
Doing the digital legwork is essential, but showing up with a face and voice gets attention.

Ask for the Right Person

Don’t just drop your request at the front desk-- that person may not have the authority to approve it. Ask to speak with a manager or decision-maker.

Bring a Printed Request Letter

Include your organization’s name, EIN, event details, expected impact, and a quick “what’s in it for you” line. Bonus points for including your logo and social handles for easy recognition.

Plan Ahead

Ask early--4 to 8 weeks (or more) before your event is ideal. Many businesses set community budgets in advance, and early requests get better results.

Be Clear in Your Ask

Instead of saying “We need support,” say:

  • “We’re seeking $500 to cover uniforms for 12 athletes,” or
  • “We’d love gift cards for our end-of-season banquet.”
    Clarity builds credibility and makes it easier for a business to say yes. 

Follow Up the Right Way

A polite check-in 5–7 days after your initial request shows you’re organized and professional (without being pushy).

Focus on Mutual Benefit

Emphasize how your team’s audience overlaps with their customers--families, students, local fans. Offer visibility: shoutouts, signage, or logo placement.

Stay Organized

Keep a simple spreadsheet to track who you contacted, when, what you asked for, and their response. It’ll save time (and awkward repeat requests) next season.
